The type of documents you need to keep as a contractor depends on a number of factors:

  • Are you a one-man business? Or do you have a company?
  • Or do you employ people?
  • Here’s an overview for businesses: what data should a company keep?

What documents should a company keep?

The Belgian government requires a company to keep all the documents needed to determine its taxable income. These documents are all those used to complete the tax return, such as :

  • Company accounts (balance sheet, profit and loss account, decisions of the Annual General Meeting, shareholders’ register….);
  • Receipts (purchase invoices, sales invoices, quotations, purchase orders, delivery notes, shipping documents, bank statements, etc.);
  • Pay slips;
  • As well as other supporting documents for costs recovered (invoices, tickets, etc.).

You keep these documents until the end of the 7th fiscal year following the taxable period. Find out more about how long you need to keep invoices as a business [LINK to question 29 “How long do you need to keep invoices as a business?]
